Once applicants have been confirmed and notified via the Applicants tab of the OCI workflow, this change is not reversible (per the confirmation popup warnings for these actions). If a student needs to be added to an OCI schedule after applicants have been confirmed / notified, they may be added directly to the OCI schedule by an admin.


To add a student as “pending assignment on the OCI schedule:

  1. Navigate to the Schedule of the OCI for which you’d like to assign a student.

  2. In the “Students Pending Assignment” section, click on the Action button and select either.

    • Add Existing Applicant (student who previously applied to the job posting but was not selected for an interview).

    • Add New Applicant (student who had not previously applied to the job posting).

  3. Search for the student by name or ID number, and click “Add”.

  4. Student will be added to the schedule as “Pending Assignment”.

  5. The student will now appear on the Applicants tab of the OCI as Interview Extended / Interview Accepted. We recommend emailing the student asking them to log in and select a time slot, or following the below steps to assign them directly to a time slot. 


To add a student directly to a time slot on the OCI schedule:

  1. Navigate to the Schedule tab of the OCI.

  2. Locate the time slot for which you’d like to assign a student, and click on the ellipsis button to the right of the time slot.

  3. Admins may either:

    • Add Existing Applicant (student who previously applied to the job posting but was not selected for an interview)

    • Add New Applicant (student who had not previously applied to the job posting)

  4. Search for the student by name or ID number, and click “Add”.

  • Note: be sure that the student being added to the schedule meets the application requirements as specified in the Job Posting, or an error message will display, and you will be unable to proceed with adding the student.
